What Referrals Are

Referrals allow patients to invite friends using a unique referral code.

When a friend books using that code:

• The referral is tracked

• Points or rewards are issued

• Activity is logged in the CRM

Where Patients Access Referrals

Patients access referrals from:

• The Dashboard

• The Referrals page

Each patient has their own referral code.

How Referral Tracking Works

Referral tracking:

• Happens through the CRM

• Requires the referral code to be used

• Is not retroactive

If a code is not used, points cannot be added automatically.

Referral Rewards

Referral rewards:

• May be points, credits, or discounts

• Are defined by the clinic

• May expire or have limits

Rewards appear after qualifying actions are completed.

Timing and Sync Expectations

Expected behavior:

• Referral rewards may appear after a short delay

• Refreshing the app may be required

• Logging out and back in resets cached data

Short delays are normal.

Normal behavior

• Referral not counted if code not used

• Reward appearing after delay

• Referral logged in CRM but missing in app

• Reward issued but not visible after refresh

Common Referral Scenarios

If a patient says:

• My friend forgot to use my code

→ Referral cannot be applied retroactively

• "My friend used my code but I got no points"

→ Check the CRM referral activity to confirm the code was used and the booking qualified. If needed, points can be added manually by the clinic. If anything looks off in the system, escalate internally to CXR.

• "Can I change my referral code"

→ No, codes are system assigned

• "Can I refer multiple people"

→ Yes, unless clinic sets a limit

Clinic Controls

Clinics can:

• Enable or disable referrals

• Edit referral rewards

• Adjust milestones and limits

All changes are reflected through the CRM.
